RULES and regulations OF THE PLGBC GREEN BUILDING SUMMIT 2024
I. Conditions of participation
- The organiser of the PLGBC GREEN BUILDING SUMMIT 2024 conference – (hereinafter referred to as the Summit) is the Polish Green Building Council (PLGBC) based in Gliwice (44-100), Zabrska 39D Street (hereinafter referred to as the Organiser). The Summit will take place on 3-4 October 2024 at the Sound Garden Hotel in the Business Garden complex, at 18 Żwirki i Wigury Street, 02-092 Warsaw. A live webcast of the event (from the first day) will be available.
- The Summit consists of three parts: conference day I (paid, on-site participation or access to the live broadcast), PLGBC Green Building Awards presentation and cocktail (paid, on-site participation only), conference day II (free, on-site participation). Various combinations of participation in the different parts are available. 03.10.2024 there will be a Day I conference and Awards presentation and cocktail, while 04.10.2024 there will be a Day II conference.
- The cost for on-site participation in the Conference Day I and the Awards presentation and cocktail is:
- for individuals from companies that are not PLGBC members and individuals that are not individual members: 950 PLN net + 23% VAT
- for individuals from companies that are PLGBC members and individual members: 400 PLN net + 23% VAT
- The fee mentioned in point 3 includes:
- participation in the conference on 3rd October 2024,
- lunch and refreshments during coffee breaks,
- access to conference materials,
- participation in the Awards ceremony and cocktail party.
- The cost of on-site participation in the conference itself on the first day is:
- for individuals from companies that are not PLGBC members and individuals that are not individual members: 800 PLN net + 23% VAT
- for persons from companies that are members of PLGBC and individual members: 200 PLN net + 23% VAT
- The fee mentioned in point 5 includes:
- participation in the conference on 3rd October 2024,
- lunch and refreshments during coffee breaks,
- access to conference materials.
- The cost of attendance (on-site) at the Awards presentation and cocktail party alone is:
- for individuals from companies that are not PLGBC members and individuals that are not individual members: 350 PLN net + 23% VAT
- for individuals from companies that are PLGBC members and individual members: 250 PLN net + 23% VAT
- The fee listed in section 7 includes attendance at the Awards presentation and cocktail party and refreshments.
- The cost of access to the live broadcast (Day 1 conference only) is:
- for individuals from companies that are not PLGBC members and individuals that are not individual members: 500 PLN net + 23% VAT
- for persons from companies that are members of PLGBC and individual members: 100 PLN net + 23% VAT
- The fee stated in item 9 includes:
- access to the live online broadcast,
- access to online presentations,
- access to additional online materials,
- access to recordings of the transmission 90 days after the event.
- The cost of access to the live broadcast (Day 1 conference only) and attendance (on-site) at the Awards ceremony and cocktail party is:
- for individuals from companies that are not PLGBC members and individuals that are not individual members: 750 PLN net + 23% VAT
- for individuals from PLGBC member companies and individual members: 300 PLN net + 23% VAT
- The fee stated in point 11 includes:
- access to the live online broadcast,
- access to online presentations,
- access to additional online material,
- access to recordings of the broadcast 90 days after the event,
- participation (on-site) in the Awards presentation and cocktail party, and refreshments.
- Registration for Summit is by completing and submitting by 30.09.2024 the registration form available online on the Sorga platform website: moje.plgbc.org.pl and paying the conference fee on the basis of a pro-forma invoice (sent to the e-mail address provided in the registration form) or through the Blue Media online payment gateway on the basis of instructions received automatically from the Blue Media system. The organiser will send a message with the pro-forma invoice or VAT invoice in the case of payment via Blue Media in pdf format a maximum of 14 working days after receipt of the participant’s application. In the case of payment by Blue Media, a Blue Media service charge of PLN 1.99 is added to the payment amount. This fee is not included in the invoice that the Organiser sends to the Participant.
- Sending an application by filling in the electronic application form is tantamount to accepting these terms and conditions and concluding a binding agreement between the Organiser and the participant (in the case of applications from natural persons) or the company (in the case of legal persons).
- The person whose name appears in the application by sending the application declares that he/she has the appropriate authority to act on behalf of the company he/she represents and to conclude the Agreement with the Organiser on its behalf.
- The Applicant will be informed of the acceptance of the application by e-mail to the e-mail address indicated in the application.
- The payment referred to in points 3, 5, 7, 9 or 11 of these Regulations must be made within 7 days of sending the application and before the Summit start date.
- Payment via the Blue Media gateway should be made by bank transfer or payment card, following the instructions received after sending the application. The online payment operator is Blue Media S.A., ul. Powstańców Warszawy 6, 81-718 Sopot, registered in the District Court Gdańsk-Północ in Gdańsk, VIII Commercial Division of the National Court Register under no. KRS 0000320590, NIP 585-13-51-185, entered in the register of payment service providers under no. IP17/2013.
- Payment with the due date should be made to the account number indicated on the sent pro-forma invoice: Polskie Stowarzyszenie Budownictwa Ekologicznego, ul. Zabrska 39D, 44-100 Gliwice, NIP: 631-257-96-51, Account no. PLN: 11 2490 0005 0000 4500 8333 1037 Alior Bank, EUR account no: PL 62 2490 1057 0000 9902 5530 8045 Alior Bank.
- The Applicant has the right to resign from participation in the Summit, under the conditions specified below. The cancellation must be made in writing each time by sending the relevant information to the Organiser at the e-mail address: dlisicka@plgbc.org.pl or by post to the address Polskie Stowarzyszenie Budownictwa Ekologicznego, ul. Zabrska 39D, 44-100 Gliwice. The cancellation shall become effective upon confirmation of its receipt by the Organiser.
- A full refund of the conference fee is possible in the case of cancellation of participation in the event no later than 14 days before the start of the event (up to and including 19.09.2024). The refund of the conference fee does not include the Blue Media service charge (in the case of payment for participation in Summit via the Blue Media gateway).
- In the case of cancellation of participation in Summit after 19.09.2024, the Applicant is obliged to pay the full participation costs resulting from the conclusion of the contract.
- Lack of payment does not constitute a cancellation of participation in Summit.
- In place of the person registered to participate in Summits, another person indicated by the Applicant may take part in the event. However, the change of the participant’s name is possible only until 30.09.2024.
- The Organiser reserves the right to make changes to the programme, Summit venue, live streaming platform and to cancel the event.
- By registering via the online form, the Applicant agrees to the collection and processing of his/her personal data – see below: II. Processing of personal data.
- The application for on-site participation is tantamount to expressing free of charge, unlimited in terms of quantity, time and territory, consent to the transfer to the Organiser of the author’s economic rights under the Act on Copyright and Related Rights of 4 February 1994 (Journal of Laws of 2006, No. 90, item 631, as amended) to the photographs and video recordings with the captured image of the Participant taken during the Summit and statements related to the participation in the Summit, without the need for their approval each time. The consent covers the use, fixing, processing and reproduction of the photographs and video recordings made, in particular: public use of photographs and video recordings, fixing and multiplication of print, use for promotional, reference, scientific and educational purposes by the Organiser. This consent covers all forms of publication, in particular dissemination on the Internet, i.e., inter alia, on the Organiser’s website, on the Summit’s website and on social media.
- This arrangement applies when the Participant is photographed or filmed together with other Summit participants during the conference activities and when the Participant has voluntarily agreed to give a filmed interview or pose for a photo.
- Any complaints by Summit participants against the Organiser should be submitted in writing by registered letter with acknowledgement of receipt to the Organiser’s registered office address given in point. 1.
- Complaints by Summit Participants may be submitted no later than 30 days after the end of the events or the date of their cancellation.
- No complaints shall be considered after the expiry of the aforementioned deadline.
- In matters not regulated herein, the relevant provisions of the Civil Code shall apply.
II. Processing of personal data
The protection of information concerning the Users of our websites is of paramount importance to us. These Terms and Conditions of Participation of PLGBC GREEN BUILDING SUMMIT 2024 (hereinafter: Summit) explain the principles and scope of our processing of your personal data, your rights and our obligations as a Data Controller.
- We use state-of-the-art technical measures and organisational solutions to ensure a high level of protection of the processed personal data and to secure it against unauthorised access.
The administrator of your data is: Polish Green Building Council (PLGBC), based in Gliwice, Zabrska 39D, registered in the National Court Register under KRS number 0000317576 (hereinafter: „PLGBC”), REGON 241 056 815, NIP 631 257 96 51.
- Contact with the Data Controller: For matters related to the processing of your data by the Administrator, you are welcome to contact us by e-mail at biuro@plgbc.org.pl.
- Your personal data is stored on the Sorga registration platform, whose controller is: SORGA Spółka z ograniczoną odpowiedzialnością with its registered office at 214 Jerozolimskie Avenue, 02-486 Warsaw, entered in the Register of Entrepreneurs of the National Court Register kept by the District Court for the Capital City of Warsaw in Warsaw, 13th Commercial Division of the National Court Register under the number KRS 0000725314, NIP 5223119611.
- Legal basis and purposes of data processing.
Your personal data is collected for the purpose of handling your participation in the Summit, financial handling of registered Summit Participants and photographic documentation of the Summit, and for the distribution of the PLGBC Newsletter to its subscribers. The data processed for the purpose of participation and financial handling are: name, surname, position, company name, address of the Participant, email address and telephone number of the Participant, in the case of companies also the address of the company and its VAT number. Data processed for the purpose of documenting the Summit are photos and recordings with the captured image of the stationary Participant. The data processed for the distribution of the Newsletter are: email address, name, surname.
- Your personal data is processed for independent purposes:
- the organisation of the Summit, including enabling log-in to the Summit for participants with access to the live broadcast, and the performance of the Administrator’s obligations arising from your participation in the Summit – the legal basis for the processing is the necessity of the processing for the performance of the Summit participation agreement (Article 6(1)(b) RODO*);
- financial handling of your participation in Summits: in the case of on-time payments based on a proforma invoice, the data remains with the Administrator. In the case of online payments, data are transferred on the basis of a Data Entrustment Agreement to the Blue Media gateway operator, the Blue Media company – the legal basis for the processing is the necessity of the processing for the performance of the Summits participation agreement (Article 6(1)(b) RODO*);
- distribution of the Newsletter to its subscribers – the legal basis for processing is the necessity of processing for the distribution of the Newsletter (Art. 6(1)(b) RODO);
- establishing, investigating or defending against claims – the legal basis of the processing is the necessity of the processing to realise the legitimate interest of the Administrator (Art. 6(1)(f) RODO); the Administrator’s legitimate interest is the defence against claims related to the participation in Summit;
- to improve the functionality of the website; to improve the speed of the website; to tailor the content of the offer to your expectations and preferences established on the basis of your online browsing behaviour; offers are posted on our website or on the websites of other entities; cookies may be placed by entities with whom we cooperate; cookies may̨ collect data about your online behaviour and/or your IP address; we may combine the data from cookies with data from the analysis of the Newsletter or from your registration on the Summit; the collection of anonymous aggregated statistics of browsing on our websites – the legal basis for data processing is your consent (Art. 6(1)(a) RODO).
- Recipients of your personal data. We provide your personal data to:
- entities processing data on our behalf, in particular the operator of the Sorga registration platform and the operator of the Blue Media online payment gateway, IT service providers – such entities process data on the basis of Data Entrustment Agreements and exclusively in accordance with the Administrator’s instructions,
- to third parties, in particular to authorised bodies, if such an obligation results from mandatory legal provisions.
- Data retention period. We will use your personal data:
- for the duration of your participation in the Summit insofar as your personal data is processed̨ in order to organise the Summit and comply with the Administrator’s obligations arising from your participation in the Summit, as well as for archiving purposes – once these obligations have been fulfilled;
- for the duration of your consent to the distribution of the Newsletter – that is, until you unsubscribe from the Newsletter;
- for a period no longer than the statute of limitations in civil and criminal matters established in accordance with the applicable provisions of Polish law, to the extent that your personal data will be processed in order to establish, assert or defend against claims;
- session cookies remain in your browser for up to 540 days or until they are deleted from your browser. Permanent cookies remain on your browser until their expiry date or until you delete them from your browser.
- Your rights.
You have the right of access to the personal data concerning you and the right to request the rectification of this data, its deletion or the restriction of its processing.
The registration of your participation, and therefore the submission of your personal data, is necessary to include you in the list of Summit participants, to enable you to log in to Summit for participants with access to the live stream and to handle the financial processing of your participation. The deletion of your data takes place once you have fulfilled all obligations related to the cancellation of your participation (see Conditions of Participation).
To the extent that your data are processed by automated means for the purpose of concluding and performing a contract or processed on the basis of consent – you also have the right to data portability, i.e. to receive your personal data from the Controller, in a structured, commonly used machine-readable format. You may send this data to another controller. You have the right to lodge a complaint with a data protection supervisory authority. You may exercise the rights discussed above by contacting the Controller in the manner set out in Section II 2.
- These Terms and Conditions set out the rules for storing and accessing information on your devices using cookies to provide services requested by you and provided electronically by PLGBC. PLGBC, as the owner of the sites in the .plgbc.org.pl domain, provides services by electronic means and stores and accesses information in your devices.
- What are cookies? Cookies are small files that are saved and stored in the user’s browser on their computer, tablet or mobile phone, containing information such as website preferences, login status, website name, file lifetime and a unique identifier used to identify the browser from which the website is accessed.
- Use of cookies. By using PLGBC’s websites, through your browser settings, you consent to the use of cookies in accordance with these Cookie Regulations. If you do not agree to our use of cookies or other similar technologies, you can change your cookie settings at any time by specifying the terms and conditions under which cookies are stored and accessed by your device. By using the pages on the .plgbc.org.co.uk domains, you agreę to the use of cookies in accordance with these Terms and Conditions. If you do not agree to the PLGBC website’s use of such cookies, you should change the settings of your browser accordingly or refrain from using the .plgbc.org.pl website. The cookies used by the PLGBC are safe for your device. In particular, it is not possible for viruses or other unwanted software or malware to enter your device via this route. The pages on the .plgbc.org.co.uk domain use cookies to:
- improving the functionality of the website;
- improve the speed of the website;
- match the content of the offer to your expectations and preferences determined on the basis of your online browsing behaviour; offers are placed on our website or on the websites of other entities; cookies may be placed by entities with which we cooperate; cookies may collect data about your online behaviour and/or IP address; we may combine data from cookies with data from Newsletter analysis or your registration to the Summit.
- to collect anonymous aggregate web browsing statistics on the .plgbc.org.pl domain.
Restricting the use of cookies may affect some of the functionality available on the websites in the .plgbc.org.pl domain.
- Third party cookies. When using the websites in the domain .plgbc.org.pl the user’s browser may save cookies from third parties such as, but not limited to: Google, Facebook. More information on the data stored in these cookies can be found on the websites of the aforementioned entities.
- Changing the settings or deleting cookies from PLGBC websites. You can use your internet browser to change your cookie settings or delete stored cookies:
